Parish Administrator - St Peter, Maney - Sutton Coldfield

Working Hours:            15 hours per week                                          

Rate of pay:                   Available on request

Reporting to:                 The Parish Priest or Churchwardens (during a vacancy)

The role of the Parish Administrator is as follows:

The role holder, in addition to providing administration, will support the church and church hall by helping to provide a welcoming environment. This includes demonstrating Christian hospitality to all visitors in support of our vision to demonstrate the love of God.     

1. Supporting Church Acts of Worship

  • Prepare and print orders of service (from the outline provided by the Parish Priest or service leader).
  • Prepare and print weekly notice sheet.
  • Prepare and print the readings for the main Sunday service.

2. Hall Use

  • Develop a relationship with hall users and be the main contact for any enquiries.
  • Maintain and develop the rota of hall users for the main hall and the upper room.
  • Deal with enquiries regarding new bookings.
  • Invoice Hall users in a timely manner and account for takings to the Treasurer.
  • Liaise with the Caretaker regarding hall bookings and the maintenance of the hall.

3. Record Keeping

  • Keep church records, input and extract data from the record databases in keeping with data protection requirements.
  • Prepare and update church registers.
  • Prepare registers and certificates for weddings and baptisms.
  • File records and reports with County Records Office, the Local Council and Diocesan Office as required.
  • Develop and maintain a directory of persons, local government, and organisations in the parish.

4. Communication

  • Proof and edit the monthly newsletter. Email out and print and post to those who have asked to receive it by post.
  • Contribute to the maintenance and update of the Church Website including updating the weekly events.
  • Send invitations for church events e.g. memorial services and wedding preparation sessions.
  • To produce posters and flyers of church events and display these within the church, hall and on the outside notice boards.
  • Ensure that all communication material supports the vision of the church and embodies our Christian values.

5. Meetings

  • To provide administrative support to Committee meetings including circulating agendas, minutes and copying and filing papers as required by Committee members.
  • To attend regular meetings with the Parish Priest for regular updates, briefings and line management

6. Parish Office, Church Hall and Church Building

  • Monitor stock and ordering supplies of office, hall and sacristy materials in liaison with the Clergy, Sacristan and Hall Caretaker.
  • Maintain office equipment in liaison with the Centre Manager.
  • Open, close, and secure office and hall during office hours.
  • Keep the Log Book and church inventory and Terrier up-to-date in conjunction with the churchwardens. Store the inventory in the safe.          

7. Other duties

  • Ensure all required statutory and other licences (performing rights, music copyright) are obtained and paid for.
  • Be available to visitors, attending to their enquiries and offering a Christian welcome to all who visit the hall.
  • To assist groups and individuals using the hall as required.
  • Represent the church in handling enquiries and (in the absence of the Parish Priest) dealing with church matters

8. Support to Clergy, Readers, Churchwardens, Duty Wardens and Committee Members

  • Support the work of the clergy, churchwardens, Committee members, readers, ‘welcomers’ and congregation members in providing reasonable administrative support as required and agreed by the Parish Priest if necessary.

8. Personal Development and Commitment

  • Attend courses for personal and professional development.

The Parish Administrator, from time to time, will also carry out any reasonable duties at the request of the Parish Priest that are appropriate for the position of Parish Administrator.

 

Person Specification

Essential

  • Good interpersonal skills and the confidence to welcome visitors, deal in a friendly and sensitive way with enquiries.
  • Excellent administrative and organisation skills.
  • A good knowledge of Microsoft Word, Publisher, Excel, PowerPoint, Canva and Outlook
  • Excellent accuracy/attention to detail
  • Flexibility to cope with changing demands, manage priorities, using personal initiative and operating with limited supervision.
  • Knowledge of and sympathy for the Christian faith and ethos.

Desirable

  • Knowledge and experience of church processes.
  • A flare for design and layout of printed publicity.
